Job Description
Broad Functions
Provide sound support to the Consul-General and Events Management.
Direct Reporting
Reports directly to the Consul-General
Duties and Responsibilities
As part of the team in the Australian Consulate-General, Los Angeles, the Consulate Events Manager and Personal Assistant to the Consul General provides everyday management to the Consul General and assist other staff when necessary. The Personal Assistant acts as a liaison with the leadership team regarding issues pertaining to the office of the Consul General and contributes to the overall effectiveness of the Australian Consulate-General. This position contributes to the Consulate’s involvement in Australia Week and Public Diplomacy activities.
The Personal Assistant continuously reviews and improves processes to ensure the highest levels of efficiency and productivity within the office of the Consul General.
Job Requirements
Demonstrated high level administrative experience.
Demonstrated experience in managing or assisting with corporate/government events.
Excellent analytical, communication, and prioritisation skills.
Demonstrated experience and knowledge of Microsoft Office Suite and Lotus Notes
Ability to work independently and within a team environment.
Ability to show discretion, initiative and a clear understanding of the operational needs of the Consulate
The ability to obtain and maintain an appropriate Australian security clearance would be an advantage but not a requirement
Selection Criteria
1 Demonstrated ability to communicate effectively both orally and in writing within the workplace and with clients including demonstrated high level interpersonal skills and excellent customer service.
2 Demonstrated high level administrative experience in a personal assistant role including the ability to take initiative, set priorities and display sound judgment and demonstrated experience in managing or assisting with events.
3 Demonstrated ability to work with limited supervision, handle multiple tasks simultaneously and to set priorities, whilst administering resources effectively to support the work of the Consul General.
4 Demonstrated ability to undertake new tasks quickly, adapt to different work environments and to respond effectively to challenges.
5 Demonstrated ability to analyse issues and provide appropriate solutions or recommendations to enquiries including proven research skills and experience.
6 Superior knowledge and demonstrated experience working with Microsoft Office, Microsoft Windows, Lotus Notes.
